Privacy Policy
Privacy policy
Here at Feniks Cup we believe it is important to manage your personal data securely and effectively. We therefore welcome GDPR (General Data Protection Regulation) – a new EU regulation that comes into force throughout the EU on 25 May 2018.
Much is the same, but protection for your personal privacy has been enhanced. We have therefore drawn up a Privacy Policy that describes how and why we save your data.
You do not need to do anything, but if you want to you can find out more about GDPR and read our updated terms and conditions and our Privacy Policy on our website.
1. Introduction – what is personal data?
‘Personal data’ includes all kinds of information that can be directly or indirectly attributed to a physical, living person.
FENIKS CUP is a personal data controller for the data that you provide us with, or that has been collected from another source. When processing personal data, FENIKS CUP always observes the utmost respect for individual privacy.
To follow is a description of the guidelines that FENIKS CUP applies, how we handle and store the information and your rights.
These guidelines never restrict the rights that apply under the data protection regulation or any other legally binding regulation.
2. Collection of personal data
We collect personal data in the following ways:
-
You provide us with your data, for example when you register a team for the tournament, but also in other situations. For example via our website, on paper forms, in other contact with us, via email, letter, contact form and via services that require a log-in and via social media.
-
Someone else submits your data with your consent in order to complete a registration. It could be team leaders or players, for example.
-
Information generated based on your registration and how you use our services, e.g. carry out payments or participate in the tournament.
-
We may also gather data about you from our business partners (third parties).
Personal data is also registered in connection with payments being made, for example bank transfers and card payments to administer your registration.
2.1 Websites that are part of FENIKS CUP
The WEBSITE can normally be visited without any personal data being collected. The information collected is used solely for statistical purposes and the visitor remains anonymous. Examples of such information include the time of the visit, how long the visit lasts and which pages are viewed. FENIKS CUP also uses cookies to ensure that functions and services on the website work as they should.
During the registration process, we can use stored cookies to bring up polls, which are directed at you based on your behaviour on the website. For example, these can be used to find out your views on the registration system, or to ask you additional questions in connection with a failed payment.
2.2. Personal data categories
The categories of personal data that we normally collect include:
-
Customer information, i.e. the data required in order to participate in our tournament. Examples include names, phone numbers and email addresses.
-
Participant information, i.e. information about the participants in the tournament. This includes contacts, team leaders, referees, parents and players registered in our log-in services. In some cases, logging in is carried out via a private link and not via user name and password.
-
Purchasing information, i.e. purchased products and services and payment history.
-
Results and statistics, i.e. how the team did in the tournament and in some cases which player scored or made an assist, or was booked for a foul e.g. in the form of green/yellow/red cards and sendings-off.
-
Service information, i.e. correspondence regarding specific matters, details about registration and possible complaints. Responses to customer surveys and feedback on our goods and services. Where applicable, data submitted in connection with competitions.
-

-
Special categories of personal data (defined in Article 9, Paragraph 1 of GDPR) are only managed in exceptional cases when required for tournament administration purposes.
-
Information from social media, i.e. information that you upload onto our website and on third party social media
2.3 Information when data is collected
When personal data is submitted to us, the person submitting their personal data receives information about:

the purpose and lawful basis for which the personal data is being collected;
-
contact details for FENIKS CUP;
-
your rights as a customer; and
-
the length of time for which the data will be saved.
If you feel that the information is unclear or incomplete, please contact FENIKS CUP to receive more detailed information.
2.4 Purpose and lawful basis for processing
We only collect personal data for purposes that are supported by GDPR.
The most common reason is that the data is being collected for processing according to the lawful basis ‘Contract’. For example, the purpose could be:
-
entering into a contract with us/completing a registration;
-
booking additional products via our log-in services;
-
managing issues and other service matters;
-
age checks and exemption applications for players; and
-
to be able to uniquely identify players for insurance cases.
We process data for several purposes under the lawful basis ‘Legitimate interests’, for example:
for marketing and profiling, i.e. to communicate relevant offers and details of events organised by FENIKS CUP to those who have registered with FENIKS CUP;
-
to communicate our offers and those of our partners;
-
to send newsletters;
-
to develop and improveFENIKS CUP; and
-
for statistics and analyses.
You can also give your consent for processing in some cases where none of the above apply. When you give your consent, it is an active decision on your part and it can be withdrawn in the same place where the consent was given. In which case, we will no longer process your personal data for that purpose. We obtain your consent primarily:
-
to display players’ names in connection with live results and other match and tournament statistics; and
-
to show referee names in match schedules and for other referees who want to look up partners to ref with.
We also save statistics from the results of the tournament in the public interest.
Other purposes for our processing of personal data may have their lawful bases in various legal requirements, i.e. in situations where we have to satisfy a legal obligation. Examples include processing of national identity numbers that are to be submitted to the Macedonian Tax Agency in connection with statements of income and tax for referee wages, or when we convey information about amended contract terms. This also applies to the processing of personal data in penalty and disciplinary procedures.
We do not process personal data for purposes that are inconsistent with the original purpose. Further information about the purpose for which the personal data is used can also be provided when the personal data is submitted, for example in connection with an email form or in contract terms.
3. Sharing of personal data
Under certain circumstances we may also pass personal data on to data processors, business partners or another third party.
The parties that may process collected personal data include:
-
IT suppliers
-
Sales partners and business partners
-

Print and digital communication partners
-
Media agencies and advertising agencies
-
Sports clubs or local/regional branches of such clubs
We may in some cases, on request according to the law and decisions by public authorities, be obliged to pass on personal data to, for example, the police, for the purposes of crime prevention and criminal investigations.
4. Personal data obtained from another party
We receive data about you from various business partners that you have submitted to the partner, and thus consented to such data being passed to FENIKS CUP because you are interested in registering for, or taking part in the tournament.
-
In some cases we receive your personal data from our bank when you carry out a bank transfer.
-
Certain data about you is provided to us from third parties via our social media sites. The information may include your name and email address.
-
Other business partners may also share information with us, e.g. if an end user has been in direct contact with their support, or if they help collect data on our behalf.
5. Access to personal data
Only individuals who need access to the personal data in order to carry out an agreed service have the authority to access and handle such data. We have several subcontractors who handle personal data to varying degrees, and they are subject to the same requirements in terms of processing procedures as FENIKS CUP has internally.
6. Removal of data
We do not save personal data for any longer than is necessary. Once a tournament has come to an end, we keep your details for a maximum period of 36 months. However, some data is saved for a longer period in order to comply with other legal requirements. There are also other reasons to save data for a longer period of time if there is a public interest for statistical purposes.
7. Security
We take special physical, technical and organisational measures in order to protect the personal data that is processed, to ensure that such data is not lost, destroyed, manipulated or made available to unauthorised persons. The measures aim to achieve a level of security that is sufficiently high, considering the technical possibilities that exist. Amendments to the personal data are continually registered to ensure traceability in all changes that are made to the information.
Personal data breaches are reported internally and by our subcontractors. Hacking incidents are also reported to the police.

8.7 Right to object
If FENIKS CUP handles your personal data on the basis of a balancing of interests, you have the right to make objections to the processing. In order to make such objection, you must specify which processing you object to. If we are to be able to continue with such processing, we must demonstrate that there are imperative legitimate reasons for processing the personal data that override your interests.
8.7.1 Marketing, newsletters and profiling
If personal data is to be processed for direct marketing or newsletters, this is stated at the time the personal data is collected.
You may inform us at any time that you do not wish to receive marketing from us. Most of our email messages contain a link that you can click on to unsubscribe from marketing via email.
The link is not included in messages that are generated in response to an action from a customer, e.g. confirmation of registration or incoming payment.
Personal data may also be processed for customer relationship management purposes, for example using selections and segmentation to communicate target-group adapted, relevant and more personal offers.
This may include some profiling based on the personal data we have received in connection with registration. The profiling is done to allow us to send out offers and information that are more suited to your needs. You can at any time inform us that you do not wish to receive these kinds of offers.
8.8 Right to compensation
You may be entitled to compensation in certain cases, for example if our management of your personal data has caused losses to you. Claims can be submitted direct to FENIKS CUP.
